Rental Policies & Applications

THE FOLLOWING QUALIFICATIONS ARE ESTABLISHED TO ENSURE THAT ALL PROSPECTIVE APPLICANTS FOR A PROPERTY PROCESSED BY DS HUBER REAL ESTATE GROUP, LLC, WILL BE TREATED EQUALLY.

  • What is the process once I submit my application?

    1.  Complete application

    • Complete your application package and submit it online
    • Pay fee (this is done electronically in conjunction with application submission)

    2.  Screening

    Your application is screened using three criteria:

    • Credit History & Financial
    • Criminal background
    • Landlord reference (current and past rental history)

    3.  Underwriting

    • Complete application packages are sent to our underwriting department for review. 
    • Underwriting will determine if you are eligible to rent a DS Huber property.  

    3.  Approval/conditional approval/denial

    • Once your application has been completely reviewed, you will receive notification of your application status.
    • This process can take up to a week to complete.

    --Approval means that you are approved for the property that you applied for, and you can complete the next steps right away.


    --Conditional approval or eligible means that you are found to be eligible to rent a DS Huber property but it is not the property that you applied for, or there are other conditions that you must meet in order to be approved, such as increased security deposit or cosigner application.  If you are not approved for the property you originally applied for but are still eligible to rent with DS Huber, you can transfer your application to a different property at no additional charge.  Please note, transferring properties does not guarantee acceptance for that property.  The process repeats for a new property.  


    --Denial means that something in your credit, criminal background, or residential history makes you ineligible to rent a DS Huber property.  



    4.  Pay Hold Fee

    • Hold fee payment will remove the property from the market for up to 30 days.  After 30 days, you must sign a lease or forfeit any fee paid.
    • Hold fee is typically equal to one full month's rent.
    • Hold Fee is converted to be applied to your security deposit at lease signing. 

    5.  Schedule lease signing and move-in appointment

    • Lease signing will be an electronic signing
    • Move-in date signals the time that your lease will start and rent charged.  
    • At your move-in/key pickup appointment: 
    • --All fees, rents, and deposits must be paid before keys are handed over. NO CASH PAYMENTS.
    • --Your VALID GOVERNMENT-ISSUED ID must be presented at key pick-up
    • --Confirmation numbers for utility transfer must be presented at key pick-up.
    • --Proof of renter's insurance must be presented and verified at key pick-up.  
  • Fair Housing

    DS Huber Real Estate Group, LLC adheres strictly to all requirements of the Fair Housing laws. We do not discriminate against any applicant for any reasons of race, color, creed, national origin, sex, age, familial status, or physical or mental disability.

  • Application info

    • Each person 18 years of age or older must completely fill out and sign an application.
    • Applications must be accompanied by the application fee to be considered.
    • Fill out application completely and truthfully. Applications will be denied if falsified or missing information.
  • Application Fees

    • There will be a $50.00 application fee for each applicant submitting an application via our online system; there will be a $60.00 application fee for each applicant submitting a paper application. Without this fee, your application is considered incomplete and will not be processed.
    • You may also pay the application fee by check, money order or cashier’s check.

    • Application fees are NON REFUNDABLE, even if you are not accepted.
  • Income Criteria

    • Sufficient Income – Monthly income is approximately three (3) times the rental amount.
    • Verifiable source of income and employment. We need to see TWO MONTHS’ worth of recent income. Examples are pay stubs,  1099’s and W2’s.
    • If unemployed, bank accounts, stocks, bonds and other forms of assets may also be used to verify the financial status of a prospective resident. It will be necessary to furnish management with proof of funds equal to three (3) years’ worth of rent and they must document that the funds have been in their account for the last four (4) months.
    • Unverifiable income will NOT be considered.
    • Unemployment compensation is NOT considered a qualifying source of income.
  • Pets (Some Properties Do Not Allow Pets)

    Pets are defined as traditionally domesticated animals that are housebroken (dogs and cats only) or kept in cages, tanks, or other enclosures.  Examples:  rabbits, gerbils, birds, tortoises, turtles, fish, lizards, snakes, tarantulas,  hamsters, rats, mice. 


    • Please complete the pet questions on the application for any pets you have. You will be charged a $100 pet deposit and $40 per month pet fee for each pet in your home.  This includes cats, dogs, rabbits, fish, lizards, birds, snakes, and all other household pets. 

    Types of pets allowed.

    • Single Family homes allow any type of pet as described above.
    • Multi family homes allow any type of pet, as long as the fully grown weight does not exceed 30 lbs. 
    • Aquariums housing fish or other aquatic animals must not exceed 40 gallons.

    Amount of pets allowed.

    • Single Family Homes allow up to a maximum of 2 pets without additional approval.
    • Multi-family homes allow up to a maximum of 2 pets total.
    • Aquariums housing fish or other aquatic animals must not exceed 40 gallons.

    Rules.

    • Nuisance.  The pet(s) may not cause any damage to the premises, nor may the pet(s) cause any discomfort, annoyance, inconvenience, or nuisance to any other resident or their guest.  
    • Noise.  The pet(s) may not be unnecessarily or excessively noisy or aggressive and causing any annoyance or discomfort to others.
    • Sanitary Issues.  All pets must be housebroken.  The pets may not be fed or given water on, or allowed to urinate or defecate on, any unprotected flooring inside the unit or any common areas.  Tenants shall immediately remove and properly dispose of all pet waste in the unit or on the grounds of the Premises. The pets may not be fed or given water outside the unit to avoid attracting other animals. 
    • Abandonment.  Residents may not abandon the pet(s) , leave it for any extended period without food or water or fail to care for the pet if it becomes ill. 
    • Compliance with the laws.  Residents agree to comply with all applicable governmental laws and regulations.
    • Specific types of animals.  The following rules apply to specific types of pets:
    • Dogs.  Dogs must be on a leash at all times that they are outside the dwelling unit and may not be left unattended.  This does not apply to any fenced area for the exclusive use of the Tenant.
    • Cats.  Residents must provide and maintain an appropriate litter box.  
    • Birds.  Birds must remain in cages at all times.
    • Fish or other aquatic pets.  Aquariums must not exceed 40 gallons in combined capacity and must be placed in a safe location in the dwelling unit. 
    • Other pets (e.g., hamsters, gerbils, rats, ferrets, mice, amphibians, reptiles, insects, arachnids, centipedes, millipedes).  Other pets must remain in cages, tanks, terrariums, or other species-appropriate enclosures at all times.  
  • Approval and Move-In Conditions

    DS Huber Real Estate Group, LLC will continue to advertise and consider all other applications for the subject property until the following has been provided:


    • Application(s) have been paid for, completely verified and approved.
    • Hold Fee has been received. 

    Move-In Conditions

    You may schedule a move in and pick up your keys after the following items have been completed:

    • Full security deposit has been paid
    • VALID GOVERNMENT ID must be provided in person at the move-in appointment
    • Lease  has been fully signed and executed by all applicants
    • Full first month's rent has been paid
    • Utilities have been switched to Tenant's name (for units with tenant-paid utilities)
    • Proof of Renter's Insurance has been provided and verified.
  • Requirements at Rental Agreement Signing

    • YOUR VALID GOVERNMENT ISSUED PHOTO ID must be shown at the time of move-in.
    • Utilities must be switched over to resident’s name prior to lease signing effective start date to be date of rental agreement signing. Please provide the confirmation #s issued by the Utility company.
    • Declarations Page for Renters Insurance Policy with the following limits:  $300,000 Liability; $3,000 medical payments to others; Property Owner listed as Additional Insured.  
    • Any rent due, security deposit due, or application fee due at the time of rental agreement signing must be paid in the form of money order or cashier’s check. NO CASH OR PERSONAL CHECKS.

    As used in this Addendum: “Lease” may be interchangeable with “Lease Agreement”; “Lessee” may be interchangeable with “Resident” or “Tenant”; and “Lessor” may be interchangeable with “Landlord” or “Owner”.

  • How do I apply to lease a unit?

    Please visit the Rental Listings page of our website. Choose the desired property (all properties listed on our website are currently available for lease) and click the Apply for This Property button. All adults 18 and over must apply, and each adult must apply and pay the application fee separately. Please list all other applicants on your application so that our applications processor can link everyone in your group and combine the applications. All information for all applicants in a group must be submitted along with payment before an application can be processed.

  • How much is your application fee?

    The fee is $50 per adult for applications submitted via our  online application, and $60 per adult per application submitted on paper, and is transferable. This means that your application can be transferred to another property if you change your mind or your first choices become unavailable. You can pay online via your checking or savings account (no additional fee) or by credit or debit card (an additional processing fee applies) when you submit your application. If you are unable to pay online, you can pay via check or money order at our office. Sorry, we do not accept cash at the office. The application fee is non-refundable.

  • How quickly will my application be approved?

    Expect a MINIMUM of two business days turnaround time after we receive your full application and application fee; applications can take up to a week to fully process, especially when it comes to receiving landlord references. Following initial screening, we may require additional information including verification of income, employment, and/or current and past landlord verification.

  • Do you work with Section 8 or other assistance?

    Most of our properties WILL allow Section 8 or other assistance. Any property that does NOT accept Section 8, will have that stated in the listing. You must complete our application process and be accepted, however, before we will continue with the process with your assistance program.

  • Will you hold a vacant property for me?

    Yes! We will hold a property off the market for up to 30 days at the rate equal to the amount of your security deposit.  Once you sign your lease, this hold fee will be applied toward your security deposit, which must be paid in full at lease signing. If you decide not to sign the lease, the hold fee is forfeit.

  • What is the process once I submit my application?

    Once your application is complete and processed, it will be sent to the underwriting department. They will review it and determine if you are eligible to rent with DS Huber. Once you are determined eligible, the underwriting department will evaluate all applicants and approve one applicant for the property. If you are not approved for the property you originally applied for, you can transfer your application to a different property at no additional charge.

  • Do you require Renter's Insurance?

    Yes:  Before you receive your keys, you must provide a Declarations Page for Renters Insurance with the following limits:  $300,000 Liability/$3,000 medical payments to others; Property Owner listed as Additional Insured.  Please Note!  DS Huber is NOT the property owner; this information will be relayed to you when you are approved for the property.   

  • Do you have a minimum Credit Score or other requirements?

    In order to qualify, at least one adult in your household should have a credit score of 600 or above, regardless of income source. Other requirements include: No evictions in the last 2 years and no bankruptcy in the last 18 months.


    While we would love to see a 600+ credit score, if you don't have 600, we are looking for other phenomenal things that show what a great tenant you are. You should have:

    • A fantastic reference from a previous landlord
    • Income that is 4-5 times the rent or more
    • No late payments on your credit in the last year 
    • A steady work history

     Please let us know about these items in your appeal if you are denied for credit.
